Inventory Management Documentation

Comprehensive guide to managing products, stock levels, transfers, and inventory adjustments.

Product Management

Creating Products

Each product requires:

  • Name & Description: Clear, searchable product information
  • SKU/Barcode: Unique identifier (auto-generated or custom)
  • Pricing: Base price, compare price, cost
  • Category: Organize products into logical groups
  • Unit: Piece, kg, liter, box, etc.
  • Images: Upload product photos for visual identification

Product Variants

For products with options (size, color, flavor), use variants. Each variant can have its own SKU, price, and stock level.

Stock Management

Stock Adjustments

Use stock adjustments to correct inventory levels:

  • Increase: For discovered stock or corrections
  • Decrease: For damaged, expired, or lost items
  • Write-Off: For unsellable inventory with full audit trail

Stock Transfers

Move stock between warehouses or store locations:

  1. Create a transfer from source location
  2. Add products and quantities
  3. Send the transfer
  4. Receive at destination location

Stocktaking

Run physical counts to verify system accuracy:

  • Full Count: Count everything at once
  • Cycle Count: Count specific categories on rotation

Reorder Management

Set minimum stock levels and reorder quantities for each product. The system generates reorder suggestions when stock drops below thresholds.

Batch & Expiry Tracking

For perishable goods, track batches with:

  • Manufacturing date
  • Expiry date
  • Batch number
  • Quality status
